A trial for an email product is unlike a trial for most software, because the stakes are your mail. If you point a domain at us and then decide not to stay, you need to know exactly what happens to the messages that arrived in the meantime. So here is the whole lifecycle, with the actual numbers, before you start.
The short version
- The trial lasts 7 days.
- No card is required to start.
- When it ends without a plan, your workspace becomes read-only. Nothing is deleted at that point.
- If it stays unpaid for 30 more days, the data is deleted, and we send three warning emails before that happens.
The rest of this post explains each stage and what we suggest testing while the clock runs.
What the trial includes
A trial workspace has the same core features as the Starter plan (the inbox, domains, team access, the developer API, analytics and the agents), with limits sized for evaluation rather than production. These come straight from our plan configuration:
| Limit | Trial |
|---|---|
| Seats included | 2 |
| Custom domains | 1 |
| Addresses | 3 |
| Storage | 1 GB |
| Inbox sends per day | 50 |
| API and SMTP sends per day | 200 |
| AI actions per day | 25 |
Extra seats aren't sold during the trial. If you need to evaluate with a larger team, start with two people who will use it most, and add the others once you pick a plan.
The limits are enforced by the API, the same way paid plan limits are. If you hit the daily inbox send limit, sending pauses until the next day. That is deliberate: a trial workspace shouldn't be able to send enough mail to damage anyone's reputation, including its own domain's.
Days 1 to 7: what to test
Seven days is short on purpose. It is long enough to answer the questions that matter if you test with intent, and short enough that you don't forget you're evaluating. Here's a plan that fits:
Day 1: domain and addresses
Add your domain and publish the records the setup wizard generates: ownership verification, MX, SPF, DKIM and DMARC. The wizard checks each one live and tells you when it resolves. Our walkthrough of the five DNS records explains what each does.
If you aren't ready to move your main domain's incoming mail, you can publish the authentication records first and hold off on MX. You'll be able to send and test, while incoming mail keeps going to your current provider.
Day 2: sending and receiving
Create your addresses, including a shared one like support@. Send test messages to accounts at the major mailbox providers and check where they land. Reply from those accounts and confirm the replies arrive.
Day 3: the team workflow
Invite your second seat. Give them access to the shared address, and spend a day working out of it together. Check what it's like to see who answered what, and how the AI sorting handles your actual mail: Primary, Other, Cold pitches and the rest.
Day 4: your product's email
If your application sends email, create an API key and send a real transactional message through the API or the SMTP relay. Then reply to it from a customer-style account. With Koltrix, that reply lands in your team inbox, threaded under the message it answers. For many teams, this is the moment that decides the evaluation.
Days 5 to 7: decide
Use the remaining days for normal work, and keep a short list of anything that bothers you. Before day 7, check the pricing page and pick a plan, or decide not to.
Day 7 without a plan: read-only
If the trial ends without a plan, your workspace becomes read-only. Specifically:
- Mail still arrives. If you moved your MX records, incoming messages keep landing in the workspace. You won't bounce mail to your customers because a trial ended.
- Everything stays readable and exportable. You can log in, read, search and export.
- Sending pauses. That covers the inbox, the API and SMTP. Your application's transactional email will stop going out through us, so if you wired it in during the trial, switch it back or pick a plan.
Read-only exists so that ending a trial is never an emergency. You have time to export, move your MX back, or change your mind.
Thirty days after that: deletion, with warnings
If the workspace is still unpaid 30 days after it became read-only, we delete the data. Before that happens, we send three warning emails. We don't keep abandoned trial data indefinitely, both because it's your mail and because holding data nobody is paying to protect isn't responsible.
The full timeline:
| Day | State | Mail arrives? | Can send? | Data |
|---|---|---|---|---|
| 0 to 7 | Trial | Yes | Yes, within trial limits | Kept |
| 7 to 37 | Read-only | Yes | No | Readable and exportable |
| Around day 37 | Deleted (after three warnings) | No | No | Removed |
Leaving cleanly
If you decide Koltrix isn't for you, the clean exit takes a few minutes:
- Export anything you want to keep.
- Point your MX records back to your previous provider, or to the new one you chose.
- Remove the Koltrix SPF include and DKIM record if nothing else will send through us.
- Switch your application's email back to its previous sender, if you moved it.
If you lowered your MX TTL before the trial, as our Google Workspace migration checklist recommends, the switch back takes effect within minutes.
What we'd like you to know before you start
We would rather you leave after an honest trial than stay because of a surprise. Koltrix is a web app that installs to your phone's home screen. It doesn't offer IMAP access for desktop mail clients yet, and there is no automatic importer for your old mailbox. If either of those is a dealbreaker, the trial will confirm it, and it's better to know on day one.
Key takeaways
- Seven days, no card, two seats, one domain. Limits are sized for evaluation and enforced by the API.
- Test the things that decide the purchase: domain setup, deliverability, the shared workflow and replies to product email.
- When the trial ends, nothing is lost. The workspace goes read-only, mail keeps arriving, and sending pauses.
- Deletion happens only after 30 more unpaid days and three warning emails.
