Team
Work a shared inbox without stepping on each other.
support@ and sales@ belong to the team. Team features make it clear who has each conversation, without a ticket system on top.
Say who has it
Every conversation can have one assignee. Their avatar shows on the row, so a glance at the list tells you what is owned and what is not.
- Assign from the reader, from a row, in bulk (up to 100 at a time) or with the a key
- Suggested teammates come from who handled the sender before and who has the fewest open conversations, with no AI model involved
- You can only assign to someone who can open that mailbox, and Koltrix offers to give them access when they cannot
- The assignee is notified in the app and, if they use push, on their device
Talk about it where it lives
Internal notes sit inside the conversation, next to the email, so nobody has to forward a thread to ask a question. They are private to your workspace and are never sent.
- @mention a teammate or a group such as Support
- Mentioned people are notified and find the conversation in their Mentions view
- Edit or delete your own notes; owners and admins can delete any note
- A note shows a count on the conversation's row, and a mention puts the conversation under Mentions
Do not answer twice
When a teammate has a conversation open you see that they are viewing it, and when they are writing a reply you see that too.
- If you send while a teammate is replying, Koltrix asks first and never blocks you
- Presence is temporary: it is not stored and expires about 30 seconds after someone leaves
Views that match how a team works
Assigned to me, Unassigned and Mentions sit in the sidebar with live counts, and owners and admins also get Everyone's open.
- Filter the inbox by assignee, or search with assignee:me, assignee:none or assignee:maya
- A Team page lists members, groups, who can open which mailbox, pending invitations and recent activity
Roles that stay out of the way
Owner, admin, member and viewer. Members work in the mailboxes they have been given; viewers can read.
- Suspend someone without deleting their data, or remove them and hand their open conversations to a teammate
- The owner can transfer ownership after confirming with a password or one-time code
- Owners and admins see workload and median first-response time for each person over the last 30 days
Seats are included
Plans include seats rather than charging a price per person from the first one. See the pricing page for how many each plan includes and what an extra seat costs.
