Stay on Google Workspace If This Describes Your Team

Koltrix is not the right email tool for every team. If you need Docs, Calendar, desktop mail clients or a SOC 2 report, stay on Google Workspace. Here is why.

I build an email product that competes with Google Workspace for some teams. This post is about the teams it shouldn't compete for. If one of the situations below describes you, you should stay on Workspace, and I would rather tell you now than have you find out halfway through a migration.

Everything here reflects both products at the time of writing. Workspace changes regularly, and so do we. Our Koltrix vs Google Workspace page has the feature-by-feature comparison; this is the plain-language version of when to choose them.

First, what Workspace does well

It's worth being clear about why Workspace is the default. Gmail's spam filtering is excellent. Almost every mail client, phone and third-party tool connects to it. Calendar, Drive, Docs, Sheets and Meet sit next to the inbox, and they work well together. It's a safe, well-understood choice, and many companies never need anything else.

Koltrix doesn't try to be any of that. It's email: a team inbox on your own domain, a transactional sending API and SMTP relay for your product, and AI agents that sort, summarize and draft. If what you need is an office suite, we are the wrong product.

Stay on Workspace if...

You need Docs, Sheets, Calendar and Meet

If your company runs on shared documents, calendar invites and video calls, the value of Workspace isn't the email. It's the suite. Koltrix has no calendar, no document editor and no video. You'd end up paying for Workspace anyway, and then running two systems for email.

Some teams split it: they keep Workspace for the suite and move only specific addresses or product email elsewhere. That can work, but if most of your email lives happily in Gmail and you have no product email to send, the split adds complexity without much benefit.

Your team lives in Outlook, Apple Mail or a desktop client

Koltrix doesn't offer IMAP or POP access in its current version. It's a web app that installs to your phone's home screen. IMAP and SMTP access for desktop and mobile mail clients is planned for the next release, but it isn't there today.

If people on your team are attached to a specific desktop client, and many people reasonably are, moving them to a web app is a real cost. Don't underestimate it. Stay on Workspace until IMAP is available, or until your team is genuinely happy working in a browser.

You need a native mobile app

Related but separate: Workspace has mature native mobile apps. Koltrix is a web app that you can install to your home screen. For people who handle most of their email on a phone, especially with notifications and offline access, the native apps are stronger.

Your customers require SOC 2, ISO 27001 or a similar certification

We have no third-party security certification. We haven't been audited, and we won't imply otherwise. If your enterprise customers send security questionnaires that require a named certification from every vendor that touches their data, you need a provider that has one. Workspace does.

You need an automatic import of years of mail

Koltrix doesn't import existing mailboxes yet. An IMAP importer is planned for the release after launch. Until then, moving means exporting your old mail with Google Takeout and keeping the old account read-only for as long as you need the archive. If having your full history searchable in one place on day one is a hard requirement, wait.

You're one person who only needs a mailbox

If you're a solo founder with no product email, no shared addresses and no interest in AI triage, Workspace or a similar mailbox provider does the job. You won't use most of what makes Koltrix different.

Where Koltrix fits instead

To be fair to ourselves, there are situations where Workspace is the awkward choice:

A simple decision test

Answer these honestly:

  1. Do you need a calendar, documents or video calls from your email provider?
  2. Does anyone on the team refuse to give up a desktop mail client?
  3. Do your customers require a vendor certification like SOC 2?
  4. Do you need years of old mail imported automatically on day one?

If you answered yes to any of them, stay on Workspace for now. If all four are no, and your product sends email or your team shares addresses, Koltrix is worth a seven-day trial.

Why I'm writing this

A company that can't say when its competitor is the better choice is asking you to trust its marketing more than your own judgment. The teams who move to Koltrix and stay are the ones it actually fits. Helping the others decide not to switch saves everyone a migration, and it's the honest thing to do.

Bottom line

Google Workspace is the better choice if you need the office suite, desktop or native mobile clients, a named security certification, or an automatic import of your old mail. Koltrix fits teams whose product sends email, who share addresses, and who want replies and AI triage in one place. Pick based on which list describes you, not on which product sounds newer.
